Cancelling Your Booking

Cancellations more than 30 days before your event

If you cancel your booking 30 days or more before your event date, you are entitled to a full refund, including any deposit paid.

If you paid in full at the time of booking, a full “no questions asked” refund will be issued.

Cancellations 30–14 days before your event

If you cancel your booking between 30 and 14 days before your event, you will receive a 50% refund of the total booking value.

Cancellations within 14 days of your event

Cancellations made less than 14 days before your event are non-refundable, unless otherwise agreed in exceptional circumstances at our discretion.

This is due to preparation, scheduling, and allocation of equipment already being completed.

Deposits

• A 25% deposit can be used to secure your booking for events more than 6 weeks away. The remaining balance is due no later than 6 weeks before your event.
• Deposits are fully refundable if you cancel 30 days or more before your event.
• Deposits become non-refundable within 30 days of your event, except where a partial refund applies as outlined above.

Changing Your Event Date or Details

We’re always happy to help where possible.

• Event date changes are permitted up to 30 days before your event, subject to availability.
• Delivery and collection addresses or dates can be changed at any time before dispatch. Just reply to your booking confirmation email or email info@videoguestbook.co.uk.
• Changes requested after these timeframes may not be possible once shipping has been arranged.

Destination Weddings

For destination wedding bookings, the same cancellation terms apply, with adjusted timeframes due to extended hire periods:

• Full refund if cancelled 6 weeks or more before the event
• 50% refund if cancelled between 6 and 4 weeks before the event
• Non-refundable within 4 weeks of the event, unless otherwise agreed

If you have special requirements or need the guest book for longer, please contact our team and we’ll do our best to assist.

If We Need to Cancel or Change Your Booking

In the unlikely event that we are unable to fulfil your booking due to circumstances such as courier failure, damage in transit, or a technical issue beyond repair, we will always act in your best interests.

Where possible, we will:

• Offer a free upgraded alternative, or
• Provide a suitable replacement at no additional cost

If only a downgrade option is available, you may choose between:

• A 50% refund, or
• Free cancellation with a full refund

Force Majeure

Neither party shall be held liable for delays or failure to perform obligations due to events beyond reasonable control, including but not limited to extreme weather, government restrictions, natural disasters or major transport disruption. In such cases, we will work with you to find a fair and practical solution.
